At Zeevou, we understand that privacy and data protection are important to our customers, their guests and everyone who interacts with our services. This Privacy Policy explains how Zeevou Limited, incorporated in Jersey (“Zeevou Jersey”), and Zeevou Ltd, incorporated in England and Wales (“Zeevou UK”), collect, use, store, share and protect personal data when you use our website, the Zeevou Platform, the ZeeLink network, payment tools, support services or otherwise interact with either company.

In this Privacy Policy, “personal data” means information relating to an identified or identifiable individual, such as a name, email address, telephone number, address, online identifier, booking information or payment-related information. Terms such as “processing”, “controller”, “processor” and “consent” have the meanings given to them under applicable data protection laws.

In this Privacy Policy, “Zeevou Entity” means either Zeevou Jersey or Zeevou UK, and “Relevant Zeevou Entity” means the entity responsible for the particular processing activity described below. References to “we”, “us” or “our” may refer to both companies collectively, but do not mean that both companies are responsible for every processing activity.

Zeevou Jersey contractually supplies the Subscription Services. It is generally the controller of personal data used for account administration, subscription billing, subscription support, the Ambassador Programme, customer relationships and its own business operations.

Zeevou UK owns or controls and technically operates the underlying Platform technology and separately operates the ZeeLink network. It is generally the controller of personal data used for ZeeLink participation, listing distribution, booking attribution, commissions, Agent administration, ZeeLink payment administration, fraud prevention and applicable seller and platform reporting.

We process personal data only to the extent necessary to provide, operate, secure and improve the Zeevou Platform and related services. This includes the processing required to manage accounts, provide property management and booking functionality, support Hosts, Listing Owners, Agents and other users, facilitate Network bookings, process payments, administer commissions and referral rewards, provide customer support, prevent fraud and comply with legal, tax and regulatory obligations.

The processing of personal data only takes place where we have an appropriate legal basis under applicable data protection laws. Depending on the circumstances, this may include the performance of a contract, compliance with a legal obligation, our legitimate interests, consent, or the establishment, exercise or defence of legal claims.

We process personal data in accordance with applicable data protection laws in the jurisdictions in which we operate.

The legal bases we rely on may include the following:

Contractual necessity: Zeevou Jersey processes personal data where necessary to provide the Subscription Services requested by a Subscriber, including creating and administering Accounts, processing subscriptions and providing subscription support. Zeevou UK processes personal data where necessary to provide ZeeLink Services to ZeeLink Participants, including enabling listing distribution, booking attribution, Agent participation, commission administration and ZeeLink payment functionality.

Where an individual acts only as a representative or employee of a business customer and is not personally a party to the contract, the Relevant Zeevou Entity may instead rely on its legitimate interests in administering the business relationship.

Legal obligation: We process personal data where this is necessary to comply with legal obligations. This may include accounting, tax, company record-keeping, fraud prevention, regulatory reporting, sanctions screening, responding to lawful requests from authorities, and reporting obligations under DAC7, HMRC digital platform reporting rules or equivalent regulations.

Legitimate interests: Zeevou Jersey’s legitimate interests may include administering customer and subscription relationships, maintaining account security, improving the Subscription Services, recovering unpaid Access Fees and communicating with business users.

Zeevou UK’s legitimate interests may include operating and securing ZeeLink, attributing bookings, administering commissions, preventing fraud, investigating disputes and improving ZeeLink functionality.

This may also include establishing, exercising or defending legal claims and enforcing the relevant Terms of Service.

Consent: We rely on consent where required by law, for example for certain marketing communications, non-essential cookies or optional features that require consent. Where processing is based on consent, that consent may be withdrawn at any time.

Vital interests: In rare cases, we may process personal data where necessary to protect someone’s vital interests, for example in an emergency situation involving a guest or user.

Where special categories of personal data are processed, we will only do so where a valid legal basis and an additional condition under applicable data protection laws applies. Zeevou does not intentionally request special category data unless it is necessary for a specific lawful purpose or has been submitted by a customer or user through the Platform.

Personal data will be deleted, anonymised or securely archived when it is no longer necessary for the purposes for which it was collected. The period for which we retain personal data depends on the type of data, the reason it was collected, the nature of our relationship with the relevant user or customer, and any legal, tax, accounting, regulatory or contractual obligations that apply. 

If a legally prescribed retention period expires, or if the relevant purpose no longer applies, we will delete or anonymise the data unless further retention is necessary for legal compliance, contract performance, audit purposes, security, dispute resolution, tax reporting or the establishment, exercise or defence of legal claims.

The information we collect depends on how you interact with Zeevou and which parts of the Platform or services you use.

We may collect information that you provide directly to us, including:

  • your name, email address, telephone number and contact details;
  • your company name, job title, business type, country and number of properties or units managed;
  • information you provide when requesting a demo, contacting us, subscribing to marketing communications, completing forms, joining webinars or communicating with our support team;
  • account registration details, login details, user roles and permissions;
  • information contained in support requests, surveys, feedback, emails, chats or phone calls.

When you create an account or use the Platform, we may collect information relating to your use of Zeevou, including:

  • organisation and subscription information;
  • property, unit, listing, pricing, availability and booking information;
  • guest communication and operational records;
  • integrations, connected channels and third-party services enabled through your account;
  • account activity, user actions, feature usage and support history;
  • invoices, billing records, subscription history and payment status.

Where you participate in the ZeeLink, Agent Programme, Referral Programme or Ambassador Programme, we may process information relating to:

  • ZeeLink Listings and listing visibility;
  • booking attribution and booking values;
  • commissions, introducer fees, referral rewards and payout details;
  • Agent website activity and programme participation;
  • information required to validate bookings, calculate rewards, prevent misuse and administer the relevant programme.

Our customers may also store guest and booking information within the Platform. Depending on how the Platform is used, this may include:

  • guest names and contact details;
  • addresses, booking references, stay dates and booking values;
  • guest messages, booking notes and check-in information;
  • payment status, refund, cancellation, dispute or chargeback information;
  • identification information, where required by law, local accommodation regulations, payment providers or the customer operating the accommodation.

We may collect payment, payout and compliance-related information, including:

  • payment method type, payment status and transaction references;
  • payout information, Stripe onboarding or verification status;
  • commission, fee, refund and chargeback records;
  • tax residency, tax identification numbers, VAT or company registration details, property addresses and other information required for DAC7, HMRC digital platform reporting or equivalent legal obligations.

Zeevou may receive limited business-contact and Account information from Communitise Ltd where the user has requested information about Zeevou, has consented to Zeevou marketing, or where business-to-business marketing is otherwise permitted by applicable law. This may include the person’s name, business name, business contact details, country, business type, approximate portfolio size, source of the information and marketing-preference records.

We may receive information from third parties where legally permitted or where necessary to provide the Platform. These third parties may include channel managers, online travel agencies, booking platforms, payment service providers, referral partners, integrated software providers, fraud prevention services, identity verification providers, public registers and competent authorities.

We also collect certain information automatically when you visit our website or use the Platform. This may include your IP address, browser type, device information, operating system, pages visited, referring website, date and time of access, session information, cookie identifiers, log data and information about how you interact with our website or Platform.

We use automatically collected information to operate and secure the website and Platform, keep users signed in, remember preferences, understand usage, improve performance, detect errors, prevent fraud and protect against unauthorised access.

Telephone calls and online consultations with our sales, customer service and support teams may be recorded to respond to enquiries, resolve complaints or disputes, maintain accurate records, support quality assurance and training, prevent fraud and protect our legal rights.

We process recordings on the basis of our legitimate interests. Recordings and associated transcripts are normally retained for 24 months from the date of the call and then securely deleted. We may retain specific recordings for longer where necessary for an active complaint, dispute, fraud investigation, legal obligation or legal claim.

Recordings may be accessed by authorised Zeevou personnel and service providers supporting our communications systems. Further information about retention and your data protection rights is provided in the applicable sections of this Privacy Policy.

Zeevou Jersey uses personal data primarily to provide, administer, support and improve the Subscription Services. This includes creating and managing Accounts, processing subscriptions, providing support, maintaining account security and administering the Ambassador Programme. It also uses saved payment-method information to establish and administer subscriptions, collect recurring Access Fees and instalments, retry failed payments, verify payment status, prevent fraud, reconcile payments, respond to billing enquiries and recover outstanding subscription amounts.

Zeevou UK uses personal data primarily to provide, operate, secure and improve ZeeLink. This includes distributing listings, facilitating and attributing bookings, administering Agent participation, calculating and paying commissions, administering ZeeLink Transactions, supporting Payment Provider processes, preventing fraud and fulfilling legal and regulatory obligations.

Where a Listing Owner chooses to participate in ZeeLink, Zeevou UK uses relevant information to facilitate distribution, booking attribution, commission calculations, Agent fees, payment administration and ZeeLink support. Zeevou Jersey may transmit relevant Account, listing and booking information to Zeevou UK where necessary to connect the Platform with ZeeLink.

We also use personal data to comply with legal obligations. This may include accounting requirements, regulatory compliance, responding to lawful requests from authorities, preventing unlawful activity and fulfilling tax reporting obligations, including obligations arising under DAC7, HMRC digital platform reporting requirements and equivalent regulations.

In addition, we may use information to analyse usage of our services, improve the Platform, develop new features, conduct research, measure performance, communicate important service updates and, where permitted, provide information about Zeevou products, services and events.

Where a Subscriber enables AI-assisted messaging, Zeevou may process limited guest, booking, property and conversation information, including where necessary a guest’s or booker’s name and company name, to generate draft replies for the Subscriber to review. Zeevou uses contracted AI service providers, currently OpenAI, as sub-processors for this purpose. Data submitted through the OpenAI API is not used to train OpenAI’s models by default. Depending on the configured retention controls, inputs and outputs may be retained temporarily for security and abuse monitoring purposes. International transfers are protected through applicable contractual safeguards. Subscribers remain responsible for their own guest-facing privacy notices and for reviewing draft replies before sending them.

Depending on the circumstances, our legal basis for processing may include the performance of a contract, compliance with a legal obligation, our legitimate interests, your consent, or the establishment, exercise or defence of legal claims.

Zeevou UK operates ZeeLink, which allows eligible listings to be displayed, distributed or promoted through ZeeLink features, Agent websites, direct booking websites and other approved channels.

Where a Listing Owner chooses to participate in the ZeeLink, certain information relating to listings, availability, pricing, bookings and guest interactions may be shared between Zeevou UK, the Listing Owner and participating Agents to enable the Network to operate effectively.

If a booking originates through an Agent website, the Agent may receive limited information necessary to attribute the booking, calculate commissions, administer introducer fees, follow up on booking enquiries, and manage their participation in the Network. The Listing Owner will receive the information necessary to fulfil the booking and provide accommodation services to the guest.

Where a guest begins but does not complete a booking through an Agent website, limited lead information may be shared with the Agent to facilitate follow-up and booking recovery activities, provided such processing is permitted under applicable law.

Zeevou UK may access, review and process information relating to ZeeLink bookings where reasonably necessary to operate the Network, provide support, prevent fraud, investigate disputes, administer commissions or introducer fees, comply with legal obligations, or protect the security and integrity of the Platform.

Agents and Listing Owners may act as separate controllers of personal data they receive for their own booking, accommodation, customer-service or lawful marketing purposes. They are responsible for providing any privacy information required in relation to their own processing.

Subscription billing and Access Fee information is processed by Zeevou Jersey and its payment providers. ZeeLink payment, commission, Agent fee and transaction-administration information is processed by Zeevou UK and its Payment Providers.

Where payments are processed in connection with ZeeLink, Zeevou UK may facilitate or administer the allocation of funds, commissions, fees, refunds, chargebacks and other adjustments through Stripe Connect or another Payment Provider. The Host or Listing Owner will generally remain responsible for Guest payments and accommodation refunds. Zeevou UK may nevertheless process payment and dispute information for commission administration, fraud prevention, support, accounting and legal compliance.

As part of the payment process, Zeevou and its payment providers may collect and process information necessary to complete transactions, verify identities, prevent fraud, administer payouts, comply with financial regulations and maintain accurate accounting records. This may include payment status information, transaction references, payout details, verification information, refund records, dispute information and chargeback information.

Stripe and other payment providers process personal data in accordance with their own privacy notices and terms. We encourage users to review the privacy information provided by any payment provider they choose to use through the Platform.

Zeevou does not intentionally store complete payment card details where payments are processed through third-party payment processors.

Zeevou UK may be required to collect, verify, retain and report information concerning Sellers and ZeeLink Transactions under the UK digital platform reporting rules and other applicable tax or regulatory requirements.

Zeevou UK may collect identity, address, tax residency, tax identification number, company registration, beneficial ownership, representative authority, property, transaction, commission, payout and other information required to determine a Seller’s reportability and complete the required reports.

Information may be obtained from the Seller, Subscriber, Host, Listing Owner, Agent, property owner, Payment Provider, public register or another person authorised to provide it.

Zeevou UK may disclose reportable information to HM Revenue & Customs and, where required, provide the Seller with a copy or summary of the information reported. Tax authorities may exchange reported information with authorities in other jurisdictions in accordance with applicable law.

Sellers and other ZeeLink Participants must ensure that information supplied for verification and reporting purposes is complete, accurate and kept up to date.

Zeevou UK may retain this information for the period required by applicable reporting, tax, accounting and audit laws, including after ZeeLink participation ends.

We only share personal data where necessary for the purposes described in this Privacy Policy or where required by law.

Depending on the circumstances, we may share personal data with service providers who help us operate the Platform, process payments, host infrastructure, provide customer support, manage communications, perform analytics, detect fraud or comply with legal obligations.

Where customers use integrations or connect third-party services to the Platform, information may be shared with those providers as necessary to facilitate the requested functionality. Such providers process information in accordance with their own privacy policies and terms.

Zeevou and Communitise Ltd may share limited business-contact and Account information for related-service introductions where permitted by applicable law. Each entity acts as a separate controller for its own direct marketing activities and is responsible for honouring objections and complying with applicable electronic-marketing requirements.

We may also share information with Hosts, Listing Owners, Agents, guests, channel partners, payment providers and other participants where required to facilitate bookings, process payments, administer commissions, provide support or operate the Zeevou Network.

Personal data may also be disclosed where we believe it is necessary to comply with legal obligations, respond to lawful requests from authorities, protect our rights, investigate unlawful activity, enforce our agreements or defend legal claims.

If Zeevou undergoes a corporate transaction such as a merger, acquisition, restructuring, financing or sale of assets, personal data may be disclosed to advisers, investors or prospective purchasers subject to appropriate confidentiality protections.

Zeevou Jersey and Zeevou UK may share personal data with each other where necessary to connect the Subscription Services with ZeeLink, operate shared technical infrastructure, provide support, maintain security, prevent fraud, administer payments and commissions, fulfil legal obligations and manage their respective contracts.

Our website and Platform use cookies and similar technologies to improve functionality, enhance security, remember user preferences, understand how visitors use our services and measure the effectiveness of our communications and marketing activities.

Some cookies are strictly necessary for the operation of the website or Platform and cannot be disabled without affecting functionality. Other cookies may be used for analytics, performance measurement, user experience improvement and marketing purposes and will only be used where permitted by applicable law.

We may use analytics, behavioural and performance-monitoring tools to better understand how visitors and users interact with our website and Platform. These tools may collect information about pages visited, navigation paths, clicks, scrolling behaviour, session activity, browser type, device information, operating system, technical performance metrics and similar usage information. Protecting personal data is important to us. Each Zeevou Entity implements appropriate technical and organisational measures in relation to the personal data for which it is responsible. Zeevou UK may also maintain technical security, hosting, backup and monitoring measures for the underlying Platform and ZeeLink infrastructure.

These measures may include access controls, encryption, authentication procedures, monitoring systems, backup processes and internal policies governing the handling of personal information.

Although we take reasonable steps to protect personal data, no method of transmission over the internet or method of electronic storage can be guaranteed to be completely secure. For this reason, we cannot guarantee absolute security.

Users are responsible for maintaining the confidentiality of their login credentials and for notifying us promptly if they believe their account has been compromised.

Depending on your location and the applicable data protection laws, you may have certain rights in relation to your personal data.

These rights may include the right to request access to personal data, the right to correct inaccurate information, the right to request deletion of personal data, the right to restrict or object to certain processing activities, the right to withdraw consent where processing is based on consent, and the right to request the transfer of certain information to another provider.

Where Zeevou processes personal data on behalf of a Subscriber, Host or other customer, we may direct the request to that customer or assist them in responding where appropriate.

Rights requests should be directed to the Relevant Zeevou Entity. Where it is unclear which entity is responsible, you may contact either Zeevou Entity and the request will be routed appropriately.

Complaints relating to processing by Zeevou Jersey may be made to the Jersey Office of the Information Commissioner.

Complaints relating to processing by Zeevou UK may be made to the UK Information Commissioner’s Office.
